This page sets out two documents that govern your use of the Indigenous Defence Services website at indigenousdefenceservices.au (the Site): our Privacy Policy and our Website Terms and Conditions.
In this document, "IDS", "we", "us" and "our" refer to Indigenous Defence Services, based in Fremantle, Western Australia.
Privacy Policy
IDS is committed to protecting your privacy and handling personal information in accordance with the Privacy Act 1988 (Cth) and the thirteen Australian Privacy Principles (APPs). This policy explains what personal information we collect, why we collect it, how we use and protect it, and the rights you have in relation to it.
Given the nature of our work in Australia's defence sector, we treat the security and confidentiality of information as a core obligation, not an afterthought.
1. The personal information we collect
We collect personal information that you choose to provide and information that is generated when you interact with the Site.
Information you provide directly. When you submit an enquiry through our contact form or email us, we collect your name, organisation, email address, phone number, the subject of your enquiry, and any other information contained in your message.
Information collected automatically. When you visit the Site, our hosting and analytics providers may automatically record technical information such as your IP address, browser type and version, device information, the pages you view, and the date and time of your visit. This information is generally used in aggregate and is not ordinarily used to identify you personally.
We do not knowingly collect sensitive information (as defined in the Privacy Act) through the Site, and we ask that you do not submit sensitive, classified, security-controlled or export-controlled information through the contact form or by unencrypted email. If your enquiry concerns matters of this nature, please contact us first so we can arrange an appropriate and secure channel.
2. How we use your personal information
We use the personal information we collect to:
- respond to your enquiry and communicate with you about it;
- assess and progress potential engagements, partnerships and commercial opportunities;
- provide, operate, maintain and improve the Site and our services;
- maintain our business records and meet our legal, regulatory and contractual obligations; and
- where you have agreed, send you updates relevant to our work.
We will only use your personal information for the purpose for which it was provided, for a directly related purpose you would reasonably expect, or where you have consented or the use is otherwise permitted or required by law.
3. When we disclose your personal information
We do not sell your personal information. We may disclose it to:
- Related entities within our corporate group, where relevant to responding to your enquiry or delivering our services;
- service providers who support our operations, such as website hosting, email, analytics, IT and professional advisers, who are required to handle your information consistently with this policy;
- defence, government and industry partners, but only where you have engaged us in relation to a specific matter and disclosure is necessary to progress it, and only to the extent appropriate; and
- law enforcement, regulators, courts or government agencies where we are required or authorised to do so by law.
4. Overseas disclosure
Some of our service providers (for example, cloud hosting or analytics platforms) may store or process information on servers located outside Australia. Where this occurs, we take reasonable steps to ensure your personal information is handled in a manner consistent with the Australian Privacy Principles. Where we know the likely countries of storage, they will be identified on request.
5. How we store and protect your information
We take reasonable steps to protect personal information from misuse, interference and loss, and from unauthorised access, modification or disclosure. These steps include access controls, secure systems and engaging reputable providers. No method of transmission over the internet is completely secure, and while we work to protect your information we cannot guarantee absolute security.
We retain personal information only for as long as necessary to fulfil the purposes for which it was collected, including to satisfy legal, accounting or reporting requirements, after which we take reasonable steps to destroy or de-identify it.
6. Cookies and analytics
The Site may use cookies and similar technologies to help it function and to understand how visitors use it. You can configure your browser to refuse cookies or alert you when they are used, although some parts of the Site may not function properly if you do.
7. Accessing and correcting your information
You may request access to the personal information we hold about you, and ask us to correct it if it is inaccurate, out of date, incomplete, irrelevant or misleading. To make a request, contact us using the details below. We will respond within a reasonable period. There is no charge for making a request, although we may charge a reasonable fee for retrieval in some circumstances. We may need to verify your identity before acting on a request.
8. Complaints
If you believe we have breached the Australian Privacy Principles or mishandled your personal information, please contact us in the first instance so we can investigate and respond. We will acknowledge your complaint and aim to resolve it promptly and fairly.
If you are not satisfied with our response, you may lodge a complaint with the Office of the Australian Information Commissioner (OAIC) at oaic.gov.au or by phone on 1300 363 992.
9. Changes to this policy
We may update this Privacy Policy from time to time. The current version will always be available on the Site, and the "Last updated" date will reflect the most recent changes. Your continued use of the Site after a change takes effect indicates your acceptance of the updated policy.

Website Terms and Conditions
These Terms and Conditions (Terms) govern your access to and use of the Site. By accessing or using the Site, you agree to be bound by these Terms. If you do not agree, please do not use the Site.
1. About these Terms
The Site is operated by IDS. We may amend these Terms at any time by publishing the amended version on the Site. Changes take effect when published, and your continued use of the Site constitutes acceptance of the amended Terms.
2. Use of the Site
You agree to use the Site only for lawful purposes and in a way that does not infringe the rights of, restrict or inhibit the use and enjoyment of the Site by any other person. You must not:
- use the Site in any way that breaches any applicable law or regulation;
- attempt to gain unauthorised access to the Site, its servers, or any connected systems or networks;
- introduce malicious code, or interfere with the proper functioning, security or integrity of the Site; or
- use any content from the Site for a commercial purpose without our prior written consent.
3. Intellectual property
All content on the Site — including text, graphics, logos, the IDS name and marks, images, layout and design — is owned by or licensed to IDS and is protected by Australian and international intellectual property laws. You may view and print content from the Site for your own personal or internal business reference. You must not otherwise copy, reproduce, modify, distribute, publish or commercially exploit any content without our prior written permission.
4. Information is general only
The information on the Site is provided for general information purposes only. It describes our capabilities, services and strategic alignment, and does not constitute an offer, a binding commitment, professional, legal or security advice, or a representation that any particular service or outcome will be available to you. Any engagement with IDS is subject to a separate written agreement.
Nothing on the Site should be relied upon as confirmation of any specific defence capability, contract or arrangement. Statements regarding alignment with the National Defence Strategy, the Western Australian Defence and Defence Industry Strategy, or related programs reflect our intent and positioning and do not imply endorsement by, or a contractual relationship with, the Commonwealth, the State of Western Australia or any agency.
5. No warranty
While we make reasonable efforts to ensure the Site and its content are accurate and current, we do not warrant that the Site will be uninterrupted, error-free, secure, or free of viruses or other harmful components, or that the information on it is complete, accurate or up to date. To the maximum extent permitted by law, the Site and its content are provided "as is" and "as available".
6. Third-party links
The Site may contain links to external websites. These links are provided for convenience only. We do not control, endorse or accept responsibility for the content, products, services or privacy practices of any third-party website. Your use of any linked website is at your own risk and subject to that site's own terms.
7. Limitation of liability
To the maximum extent permitted by law, IDS, its officers, employees and related entities exclude all liability for any loss or damage (including indirect, incidental, special or consequential loss, loss of profits, or loss of data) arising out of or in connection with your access to or use of, or inability to use, the Site, whether based in contract, tort, statute or otherwise.
Certain rights and guarantees under the Australian Consumer Law cannot be excluded. Where our liability cannot lawfully be excluded but can be limited, our liability is limited, at our option, to re-supplying the relevant information or paying the cost of having it re-supplied.
8. Privacy
Your use of the Site is also governed by our Privacy Policy (Part A above), which forms part of these Terms.
9. Governing law
These Terms are governed by the laws of Western Australia and the Commonwealth of Australia. You submit to the non-exclusive jurisdiction of the courts of Western Australia and any courts that may hear appeals from those courts.
